When employees leave a company, their email history may still be needed for audits, compliance, or internal reference. Our challenge is creating reliable archives without spending hours configuring and exporting each Google Workspace account individually.
One approach is to configure Outlook through IMAP and export synchronized mailboxes to PST. However, this can become slow when several accounts contain large volumes of email. Google’s Data Export utility is another option, but its MBOX output needs to be converted if PST files are required.
I am exploring ways to export Google Workspace email to PST while keeping the process manageable for IT administrators. The SysInfo Google Workspace Backup Tool lists direct PST export, CSV-based batch processing, date filtering, folder selection, and duplicate removal among its features. It also supports separate contact and calendar exports.
For bulk archiving, I would first confirm the required accounts, authentication permissions, and retention needs. After the export, checking sample messages, attachments, and reports is important before removing access to the original accounts.
If you regularly export G Suite to PST, what workflow do you recommend? I am particularly interested in methods that support multiple mailboxes and make it easier to verify that the necessary information has been preserved.
